# AI transparency notice

> **Draft: needs the owner's lawyer review.** Not legal advice. Covers EU AI Act Article 50 (applies from 2026-08-02).

## What people are told

| Where | When | Text |
|---|---|---|
| Teams chat (personal or channel) | Once per person per conversation, before the first answer | Default: "I'm an AI assistant from <Tenant>. You are talking to an AI, not a person." |
| Teams meeting | When the agent joins and records; chat message and spoken line | The same text plus the fixed sentence "This meeting is recorded and transcribed." |
| Meeting participant list | Always | The agent's name ends in "(AI)": "Bill (AI)", "Ben (AI)" |
| Console, Settings page | Always for admins | The current text, an explanation, and the rule below |

## What a tenant may change

A tenant admin can reword the notice in Settings. The text must still say that the user is talking to an "AI assistant"; a text without the
phrase is rejected. The recording sentence in
meetings cannot be edited. An empty text means the default.

## Evidence

Every time the notice is shown, it is written to the audit log with the person and conversation, or the meeting. The audit log is
tamper-evident for each tenant, so a customer or a regulator can see that the notice was given.

## Not yet covered

- Machine-readable marking of synthetic speech and media (Art. 50(2)); the grace period for existing systems to 2026-12-02 is provisional.
- Voice-only channels other than Teams meetings (Hermes Desktop live voice) show no notice yet.
- Translations: the default text is English only.

## Open points for counsel

1. Whether "AI assistant ... not a person" is sufficient for chat, and whether once per conversation meets "at the latest at the time of first interaction".
2. Whether the meeting line also needs to be repeated when a person joins late.
3. Wording of the recording sentence for jurisdictions that require consent from every participant.
