# Plans and billing

**What this is:** how a tenant gets a plan, pays, is metered and what happens when a payment fails.
**Who it is for:** tenant admins and billing admins.
**You will learn:** the plans and what they include, the usage meters, the state a tenant is in when payment fails, and comp grants.

Team is EUR 25 and Business is EUR 59 per person per month, excluding VAT. Enterprise starts at EUR 2,500 a month plus usage, and your Bill and Ben contact quotes it.
Billing turns payment events and usage into your tenant's billing state.

## Plans

These are the current plan values and they can change. A change an admin makes in the console takes effect within seconds. Numbers are **per user** and scale with seats, except the trial, which is one pool. Only custom agents and custom roles can be unlimited.

| Entitlement | Trial | Team | Business | Enterprise |
|---|---|---|---|---|
| Length or minimum seats | 14 days | 3 seats | 10 seats | 25 users included |
| Members | up to 5 share one seat pool | by seats | by seats | by seats |
| Meeting minutes | 300 in total, 60 a day | 200 | 400 | 600 |
| Sandbox minutes | 150 | 300 | 600 | 1,000 |
| Storage (GB) | 1 | 5 | 20 | 20 |
| Web look-ups (per company, per month; they pause at the limit, never billed extra) | 300 | 3,000 | 15,000 | 50,000 |
| Company library size in passages (per company; uploads and connector syncs stop at the limit, nothing is deleted) | not included | 100,000 | 500,000 | by contract |
| AI included (vendor EUR) | soft 8, hard cap 10 (pool) | 6 | 14 | 20 |
| Model roles | standard set | standard set | adds the deeper-reasoning models | adds the deeper-reasoning models |
| Gateway detail | `summary` | `summary` | `full` | `full` |
| Custom agents | 0 | 0 | 3 | unlimited |
| Custom roles | 3 | 3 | unlimited | unlimited |
| Devices, SSO, SCIM, audit export, always-on workspace | no | no | yes | yes |
| Server scripts, dedicated | no | no | no | yes |

The gateway **soft budget** is per user times the number of seats. A tenant that needs another figure can have its plan values replaced.
A trial tenant is created by signup with one seat and a 14-day trial; it needs no card.

## Checkout and customer portal

From the **Billing** page you start checkout for a plan change or open the customer portal to manage your card and invoices.
You need `billing.manage` for this. Payment confirmations from the payment provider update your tenant's state automatically.

## Usage meters

All usage is counted in one ledger, with monthly totals.

| Meter | Counted from | Billed as overage |
|---|---|---|
| Model spend | model use, hourly | yes, with a markup |
| Meeting minutes | the bot joining a meeting until it ends | yes |
| Sandbox minutes | the start of a sandbox task | yes |
| Storage | a nightly measurement | yes |
| Agent tasks | one per task | no |
| Gateway calls | one per gateway tool call | no |

Only usage above your plan's inclusion (the per-user value times seats) is billed as overage. Complimentary tenants are never billed.

## Failed payment: the billing states

A tenant is always in one billing state. Payment events and a regular check both use the same rules, so they cannot disagree.

In short: a failed payment moves a plan step by step, and paying the invoice brings it back.

| State | What stops | How you get there |
|---|---|---|
| Active | nothing | trial (no card), paid invoice, active subscription, or a tenant-wide comp |
| Past due | nothing yet; warnings | first failed payment, day 0 to 13 |
| Restricted | model use and new runs | day 14 |
| Suspended | everything except data export | day 30 |
| Read only | writes | trial ended unpaid, or subscription cancelled (from any state) |

- A paid invoice always returns the tenant to active. Read only comes only from trial end or cancellation, never from the clock.
- Day 120 of an unpaid run is only recorded in the audit log. **Nothing is deleted and no email is sent.** Deleting a tenant is a separate, manual process.
- A missing or cancelled subscription is read only (fail closed).

## Complimentary access

Bill and Ben staff can give a tenant or a user a plan at no charge. The rules:

- A tenant-wide grant keeps the tenant active and ends payment reminders. A revoke may resume them.
- A staff permission allows any grant. A narrower permission, `tenant.grant_complimentary`, allows grants to single users
of your own tenant only. Every outcome, including a refusal, is audited.
- A grant has a reason, an optional end date and an optional model budget. User budgets are added to the team spend cap.
- Bill and Ben's own tenant keeps a permanent grant.
- How to use it: [admin console](../admin/console.md).
