Meeting end and knowledge base¶
What this is: what happens after a meeting: the summary, the proposed work items, and the knowledge-base copy. Who it is for: staff who attended or missed a meeting, and admins who run the knowledge base. You will learn: where the summary appears, what Bill proposes, what is stored, and what limits apply.
Use it¶
- When the bot leaves the call because the meeting ended, Bill writes the summary, even if Ben was the bot in the call. He posts it to Bill's Teams home channel with proposed work items. Nothing is created in Azure Boards until a human confirms.
- Parts you took off the record are not in the summary or the knowledge base (Off the record).
- If the knowledge base is configured, you can later ask either agent about the meeting.
How it works¶
In short: after the meeting a summary is saved, and work items wait until a person confirms.
When the meeting ends, the platform records the minutes the bot spent in the call once, fetches the transcript, cuts out any off-the-record parts, and asks Bill for the summary and proposed work items. Very long meetings keep the latest part of the transcript. A duplicate end signal does nothing. If the summary fails, the transcript is still stored without one. If the knowledge base is configured, the transcript and the summary are stored there with the date, the agent and the attendee names, and a later copy replaces the earlier one. A failure in that step never blocks the rest.
Who the summary runs as¶
The summary is written with the permissions of the meeting owner (Meeting). If the meeting has no owner, Bill posts this line in the meeting chat and writes no summary: "I could not tell who asked me to join this meeting, so I will not write a summary. Please invite me again from your own account." If the owner's permissions cannot be used, the summary is refused the same way. The knowledge-base copy is not affected.
Known limits¶
- Not yet proven in a recorded end-to-end run of the summary.
- A change to the owner's permissions takes effect within about 10 seconds.
